Then I went on to start creating an overview map of PKM processes, and this is version one of my PKM processes map, which received quite some feedback. I also went ahead and read an interesting book called "The Science of Managing Our Digital Stuff." [* ](https://youtu.be/VqhDFQzL-5Y?t=50) There were two important learnings for me from this book; many interesting points stood out, but two particularly caught my attention. [* ](https://youtu.be/VqhDFQzL-5Y?t=56)
One was a fascinating number from research that indicates if you have more than 21 files in a folder, that is the magic number when you should create a subfolder. [* ](https://youtu.be/VqhDFQzL-5Y?t=67) They measured that it takes about 2.2 seconds to take a step in our folder structure while it takes only 0.1 seconds to scan a file, which is where this magic number of 21 comes from. [* ](https://youtu.be/VqhDFQzL-5Y?t=80)
The other interesting learning from the book mentioned a study from 2016 that indicated that most people prefer to navigate to files instead of using search. [* ](https://youtu.be/VqhDFQzL-5Y?t=101) It suggests that it takes more cognitive energy to type in a search term than to rely on our spatial memory to find files, which might be the underlying reason for this preference. [* ](https://youtu.be/VqhDFQzL-5Y?t=118) I find that I also prefer to use Excalidraw instead of relying solely on search. [* ](https://youtu.be/VqhDFQzL-5Y?t=145)
In today's video, I'd like to explore the differences between filenames, folders, tags, and links to understand how they fit into my own PKM system. [* ](https://youtu.be/VqhDFQzL-5Y?t=156) For this purpose, I'll be using a circle map and a Venn diagram as helpful tools for organizing these concepts. [* ](https://youtu.be/VqhDFQzL-5Y?t=172)
A circle map helps define concepts and contexts, while a Venn diagram allows for comparing and contrasting aspects within those concepts. [* ](https://youtu.be/VqhDFQzL-5Y?t=174) Venn diagrams represent mathematical or logical sets pictorially, with common elements shown in the intersections of circles. To categorize different aspects, I'll share a few Venn diagrams. You can have two circles similar to the double bubble map, three circles, or even more, although five circles may start to become too busy. [* ](https://youtu.be/VqhDFQzL-5Y?t=250)
Getting back to our circle map, let’s place these items onto our Venn diagram. First, I’m talking about file paths instead of just folders, since file paths include a file name and a folder path. [* ](https://youtu.be/VqhDFQzL-5Y?t=276) A well-structured file naming convention can contain valuable metadata such as version numbers, dates, and statuses. [* ](https://youtu.be/VqhDFQzL-5Y?t=326)
Links represent relationships between notes. If you extend links with metadata, they can help create an ontology for your notes within your knowledge graph. [* ](https://youtu.be/VqhDFQzL-5Y?t=380) Tags, meanwhile, label your notes and allow for classification based on similarity or project relevance. [* ](https://youtu.be/VqhDFQzL-5Y?t=401)
Let’s go through some PKM activities. For tagging for action, the name itself suggests it is indeed an actionable tag. [* ](https://youtu.be/VqhDFQzL-5Y?t=458) I could place it in the tag section since it could also serve as a descriptor in the file name. [* ](https://youtu.be/VqhDFQzL-5Y?t=475)
Reminders to resurface notes have more to do with linking, as they facilitate connections within relevant contexts. [* ](https://youtu.be/VqhDFQzL-5Y?t=515) Grouping similar items and classification based on taxonomy could sit in the overlapping sections of the Venn diagram, representing a mix of file paths and tags. Labeling for inclusion in projects could correlate with both linking and filing items in specific project folders. [* ](https://youtu.be/VqhDFQzL-5Y?t=637) Keywords typically connect well with tags and enhance the organization of notes. [* ](https://youtu.be/VqhDFQzL-5Y?t=661)

Tracking the version of notes could be done through tags or filenames, depending on the specific process preferred.
